Post Quarter-End Resources
This article is to assist franchise owners with quarterly resources once the Tax Department has completed filing and paying for the quarter.
The Tax Department files and pays quarterly returns on a rolling basis through the last day of the quarter. Because of this, screens and reports may show incomplete or inaccurate filing status while we're still actively working through the quarter. This is expected and does not mean something has been missed.
We track every filing against our Expected Tax Return Checklist (master list), so please hold off on reaching out about a return or payment that appears outstanding unless the quarter has fully closed. Correspondence sent before then, without a notice or other documented reason, creates additional research and response time that slows down processing for everyone.
If you do receive a notice from a state or agency, please submit it right away through a HubSpot ticket so we can review and respond.
We appreciate your patience as we work through the full checklist each quarter. It helps us keep filings accurate and on time.
Return Archive
Reporting >> Return Archive
Return Archive is a company-level screen allowing users to view and download tax returns. Filters include year, period, and Federal/State. Select View Report to review the report.
Tax Maintenance Screen
Client Management >> Taxes >> Tax Maintenance
The Tax Maintenance screen enables Service Bureau users to view and manage the tax setup for a specific Client ID. It includes filters and pop-ups to view or edit specific categories.
The Tax Maintenance screen is a good resource to check whether IDs are applied for, and to review tax status, payment frequency, payment method, tax rates, and effective dates.
Company Tax Liabilities
Client Management >> Taxes >> Company Tax Liabilities
Company Tax Liabilities is a client-level screen that summarizes the liabilities for each payroll.
Filter options include payroll, pay date, quarter, and year, with additional filters for detail or summary view, pay group, tax group description, tax description, and status.
On the right side of the screen is a box with a pencil icon. These are notes associated with the payment. Some notes auto-generate by the system, and some are added by the tax team. Please note, some notes added by the tax team are internal team notes.
Payment statuses you may see include:
Paid: The payment was paid by PV Corporate, and the cash is with the respective taxing authority.
Prepaid: iSolved thinks that the cash has already been paid to the various taxing authorities. The amounts will show on the reports, but no money will be sent.
Pending: iSolved thinks that the money is in the Corporate impound account and will be paid out through Corporate before the due date.
Held: iSolved thinks that the money is in the Corporate impound account, but it will not be paid until the status is changed back to Pending.
Tax Payment Analysis Report
Production Utilities >> Service Bureau Reports >> Tax Payment Analysis Report
This report displays Company Tax Liabilities similar to the Company Tax Liabilities screen. This report will not display notes.
Tax Acknowledgement Import Report
Production Utilities >> Service Bureau Reports >> Tax Acknowledgement Import Report
The Tax Acknowledgement Import Report shows the status of agency filings that either transmitted directly from iSolved to the state or had an acknowledgement imported into iSolved from a bulk upload. Only a small number of agencies participate in this acknowledgement process, so only those agencies will appear on this report.
Each agency is listed along with the clients that were submitted to it, with a status of Accepted or Rejected. If a filing is rejected, the report will display the associated error. Note: Some clients may appear twice within an agency if the batch needed to be reset and recreated in iSolved.
Tax Return Checklist Report
Production Utilities >> Service Bureau Reports >> Tax Return Checklist Report
The Tax Return Checklist Report is similar to the Expected Tax Return Checklist report. It displays each agency, form code, and status of the filing in iSolved. Note: Some clients may appear twice within an agency if the batch needed to be reset and recreated in iSolved.
Statuses displayed include:
Pending: The filing is pending in iSolved and has not been created to send to the agency.
Sent: The e-file was created and sent to the agency.
Printed: The filing is a paper filing and was mailed via USPS to the agency.
Quarter End Dashboard
Tax Filing Management >> Tax Quarter End >> Quarter End Dashboard
The Quarter-End Dashboard is a management tool for the tax team to organize and manage their process at quarter-end.
The reports in the Quarter End Dashboard are a great resource for reviewing any errors that remained through the quarter and were not cleared prior to quarterly filing.
Reconciliation Error & Warning Detail
The Reconciliation Error & Warning Detail report displays the specific errors and warnings for each client that remained through the quarter and were not cleared prior to quarterly filing.
Reconciliation Error & Warning Summary
The Reconciliation Error & Warning Summary report displays the clients with errors and the number of errors for each. It does not display any detail on the errors themselves.
A Note on These Resources
The resources outlined above reflect what is available to us within iSolved. They are not confirmation from the agency itself. Clients have access to their own state logins and are encouraged to review filings and payments made on their behalf each quarter to confirm agency-side receipt.
